How to Manage the Approval Queue?

The queue is where you can manage all the requests coming through, such as Instructor Filings, Course Filings, Instructor Renewals and Course Renewals. You can view the details of the requests and have the ability to Approve, Deny or Request More Info for each item.

How to Create Approval Groups:

Step 1: Click on the Queue icon from the top menu.

Step 2: Click on the Groups icon located in the left-hand sub menu.

Step 3: Click the Add icon in the upper, right-hand corner to create a new group.

Step 4: Enter a Group Name (i.e. Program Administrators, Compliance)

Step 5: Select any administrators you’d like included in this approval group from the list below and click Add.

Please note: Administrators will only be available from this list if Quest CE has turned on their queue access. To get administrator access, contact your dedicated account executive at 877.593.3366 or email support@questce.com.


How to Create Business Rules:

Step 1: Click on the Queue icon from the top menu.

Step 2: Click on the Business Rules icon located in the left-hand sub menu.

Step 3: Click the Add icon in the upper, right-hand corner to create a new Business Rule.

Step 4: Enter a Rule Name (i.e. Course Approvals)

Step 5: Select a Rule Type from the drop-down list provided.

Please note: There can only be one active business rule in the system per Type. To put a new business rule in place, you will need to first deactivate the current business rule.

Step 6: Click Add Group next to the approval group you’d like to include for this business rule.

Please note: If you would like to set-up an auto-approval workflow that would send any request directly to Quest CE’s compliance team, therefore skipping an internal review process, click Auto Approve. To get alerted via email when those filings are auto-approved, check the Send Auto Approve Email box.

Step 7: Once complete, click the Add button.

Step 8: Here, you will be able to review your approval hierarchy.

Please note: “Quest CE Compliance” is Quest CE’s internal compliance department that will review/approve the request before it gets sent to the appropriate state/designation board for final approval. This approval group is required for all business rules.


How to Manage Instructor/Course Filing Requests:

Step 1: Click on the Queue icon from the top menu.

Step 2: Once here, you will see every course/instructor filing that is in the process of getting approval and its current status. Status types include:

New: A new course/instructor filing has been submitted and requires your attention

In Progress: A course/instructor filing has received approval and is currently being reviewed by Quest CE’s compliance team

Request More Info: More information has been requested on the filing

Modified: There has been an update to a previously approved course/instructor

Approved: The course/instructor has been approved on all ends and is in the process of being submitted to the appropriate state(s)/designation board(s)

Denied: The course has been denied and no further action can be taken

Step 3: Click the View Details icon to the left of the course/instructor filing you want to review. Once clicked, you will see the date the form was submitted, started, completed and the following sub-menus:

Standard Form: The responses/changes submitted in the filing

Hierarchy: The path of approval

Queue Log: A transactional history of the approval queue

System Log: A transactional history of all activities related to the filing

Document Library: Any attachments/uploaded files (i.e. instructor resume, etc.)

Step 4: Once you’ve reviewed the submission, click the Menu icon in the upper right-hand corner of the screen. Here, you will have the option to:

Back to the Queue: Return to the main approval queue

Approve: Submit the filing to Quest CE’s compliance team for review

Request More Info: Request more information from the original submitter

Deny: Deny the request outright

Please note: Once an action is taken, an email will automatically alert the original submitter to inform them of the change in status and whether further action is required.
